What Are Pipelines and Opportunities?
A Pipeline is a visual roadmap or a workflow. It's a series of customizable stages that represent the steps in any process.
Versatile: Pipelines can be used to track a wide range of activities, including:
Sales processes: Moving prospects from initial contact to a closed deal.
Project management: Tracking the progress of a job from start to finish.
Recruiting: Managing candidates from application to hiring.
Customer onboarding: Guiding new clients through setup and training.
Customizable Stages: Each pipeline is composed of stages (e.g., "Lead In," "Proposal Sent," "Negotiation," "Completed"). These stages can be tailored to fit the unique workflow of your business.
An Opportunity is a "card" within a pipeline. It represents a single deal, customer, or project that is moving through the stages.
Centralized Information: Each opportunity card contains all the relevant information for that specific item, such as the client's name, contact details, notes, and the deal value.
Custom Fields: Your account can be configured with unique custom fields inside each opportunity, allowing you to capture specific data points essential to your business.
How an Opportunity Moves Along the Stages
An opportunity's journey through a pipeline is a dynamic process that reflects its current status. This movement can happen in two key ways:
Manual Movement: You can simply click and drag an opportunity card from one stage to the next as you complete tasks. This provides a simple, intuitive way to manually update a project's status and keep your workflow organized.
Automated Movement: For a more efficient workflow, you can set up automation rules. For example, a rule can be created to automatically move an opportunity to the "Proposal Sent" stage as soon as a proposal is emailed to a client, or to "Closed - Won" when a payment is received.
Creating Pipelines and Opportunities
While many opportunities are created automatically from forms or other automations, you have the flexibility to manage them manually as well.
How to Create a Pipeline:
Navigate to Active Journeys.
Click the dropdown menu at the top of the page and select + New Pipeline.
Name your pipeline clearly (e.g., "Client Onboarding" or "Sales Funnel").
Add your custom stages by clicking + Add Stage for each step in your process.
Click Save.
How to Create an Opportunity:
Go to the specific pipeline where you want to add the opportunity.
In the first stage, click the + button at the top of the column.
Fill in the customer's or project's details, including any custom fields.
Click Create to add the new card to your pipeline.
By leveraging pipelines and opportunities, you gain a clear, centralized, and actionable view of every process in your business, ensuring nothing falls through the cracks and empowering you to make data-driven decisions.
